The FleetKey - Your Key to Control

The FleetKey is the key to control of your single site or network of fueling sites.

The FleetKey is a portable database of information identifying your users and/or vehicles. It controls access to your fuel dispensing equipment, controls the types of fuels and the maximum amount of fuel which can be dispensed.

It's all on the key
All this information is encoded on a tiny integrated circuit embedded and protected in the rugged ABS plastic key.

The FleetKey System reads from the key and writes back new information. So the latest information travels along with the user or vehicle. If you have one or a hundred sites, you are always assured that up-to-date information is used. The FleetKey System gives you all the benefits of online communication between your multiple sites, without the high cost of dedicated phone lines.

Information encoded on the FleetKey:
  • Type of key--employee, vehicle, etc.
  • System security code
  • Key lockout number
  • Employee, vehicle, department identification--20 digits, alphanumeric
  • Expiration date
  • Amount of product allowed
  • Type of product allowed
  • Required keypad entries--odometer, PIN, etc.
  • Previous and last odometer entry
  • Required, or optional, reasonable odometer entry
  • Number of odometer retries allowed
  • Minimum and maximum miles for Reasonable Odometer
  • o Vehicle class
    • Odometers and dates of last maintenance for three maintenance types
    • Encrypted PIN (Personal Identification Number)
    • Encrypted value to ensure accurate information is read by the system
Keys are truly rugged
The durable FleetKey is designed to withstand the harshest weather conditions and to stand up to the tough abuse of fleet operations. And to retain data even when the key is exposed to dirt, moisture, chemicals, X-rays, and electrostatic discharge.

The one-piece injection molded FleetKey cannot come apart. Unlike other designs, there are no exposed EPROMs which are susceptible to the environment and tampering.

Keys work for years
FleetKey keys have a rated life of thousands of read/write cycles-more than ten years of normal operation. So you don't discard the key when a driver leaves. You re-encode it and use it again.

Simple, Fast Operations

The FleetKey System is simple to operate. Prior instruction is not necessary. Messages on the liquid crystal display prompt you step by step through the fueling transaction.

When your users approach the FleetKey System, they are greeted by messages you load into the system.

Operational steps are as easy and clear as "Insert Green Key" (employee), "Insert Gray Key" (vehicle), "Select Pump No.", "Pump #1 Is Ready".

The transaction takes only seconds, and pumps are not activated unless valid keys are used. Employee, vehicle, and department identification from the key(s) along with the date, time, pump number, product number, and product dispensed are recorded by the system for later recall.

By encoding the key with certain values, you can require additional information to be entered at the FleetKey keypad. This entry can be PIN, odometer, and an auxiliary entry field.

Single or dual key operation enhances accountability
Your FleetKey System provides the flexibility to operate as a single or dual key system, or a combination of both. In dual key operation, employee and vehicle information is separated onto different keys. In operations where drivers use different vehicles, dual keys allow you to key track of which driver fueled which vehicle. Dual keys cannot be used individually; both keys must be used to enable fueling.

Receipts are Optional
The receipt printer option lets drivers get receipts for fuel dispensed through the FleetKey System.

Receipts include all transaction information plus user programmable custom heading and trailing messages. The FleetKey System can be configured to print up to three receipt copies. The slide assembly facilitates paper roll replacement and maintenance. Extra large paper roll capability allows extended unattended operation.

Features that Maximize Accountability, Security, and Control

Reasonable Odometer feature helps enforce accurate odometer entries.
Accurate odometer readings are an integral part of fuel and fleet management. However, due to voluntary and involuntary entry errors, they are often difficult to achieve. The FleetKey helps enforce reasonable odometer entries whether your vehicles are fueled at the same or different sites.

The key gives the orders
On each vehicle key you can specify whether a reasonable odometer entry is required, how many retries are allowed, and the reasonable minimum and maximum mileage between fuelings.

During every transaction, the accepted odometer is written and stored on the key. At the next fueling, the FleetKey System uses this odometer, along with the minimum and maximum range, to determine if the entered odometer is reasonable.

They can still fuel up
If the number of retries allowed is exceeded, by a code on the key you have the flexibility to control whether to end the transaction without permitting fueling, or to allow fueling. If fueling is allowed, the last odometer entered is flagged as invalid in the transaction record.

Quick Lockout of lost or stolen keys
You can easily validate or invalidate keys in seconds, locally or remotely, through a CRT. You can validate or invalidate keys individually, in strings, or by ranges. You can configure your system to allow all keys except those which have been invalidated, or to allow only keys which have been loaded into the system as valid.

Tank gauge connection option centralizes communication
A tank monitor interface option enables you to use the CRT or PC to communicate through the FleetKey system to a Veeder Root 250/350 tank gauge. Once communication is established, you can issue tank monitor commands from the CRT or PC and receive output from the tank monitor.

Only one phone line and modem are necessary to communicate remotely with both devices. Tank monitor connection requires an additional auxiliary communication port on the FleetKey system.

Encoding your keys yourself
FleetKeys are encoded utilizing the KE200 FleetKey Encoder. This is a microprocessor-controlled device that prompts you for the information to be encoded on the FleetKey. It can be used standalone, or with an ASCII data terminal or CRT for faster data entry, or with a PC equipped with interface software. You can locate FleetKey encoders in your office and in your maintenance facility to encode the odometers and dates maintenance is performed. For added security, a manager keyswitch locks out maintenance technicians from unrelated fields, so you're protected against unauthorized entries.

If you don't use a FleetKey encoder, you can make use of optional software which allows FleetKeys to be encoded directly by the FleetKey System.

Multiple Levels of Security provide peace of mind
Your FleetKey System has multiple features to maximize system security. Each of your FleetKeys is encoded with a system identification code which is unique to your system, preventing other FleetKey System users from accessing your system. For additional security, you may require a Personal Identification Number (PIN) to be entered on the keypad to authorize fueling. You select the individual PIN numbers which are encoded on the FleetKey in an encrypted format. You control access to system commands and reports by a sign-on password you select and load into your system.

Maintenance Reminders help maintain top fleet performance
With the maintenance messages option, you have the ability to display maintenance due soon, due now, or overdue messages on the FleetKey System display for up to three maintenance types.

For up to 20 classes of vehicles, you can load the mileage and/or time intervals between maintenance into the FleetKey System. You also specify when the due soon and overdue messages appear. For strict enforcement, you even have the option to lock out overdue vehicles from fueling.

Maintenance data on the keys
For each of the three maintenance types, the odometer and date their maintenance was last performed are stored on the key. At each fueling, the new odometer is checked against the information and the interval table, and the applicable reminder messages are generated.

Product Authorization and Limitation puts you in control
By coding on the FleetKey, you control which products can be accessed, preventing vehicles from being fueled with the wrong product. You can also control the amount of product which can be dispensed in each transaction--a safeguard against theft and environmental damage should someone drive away with the nozzle still in the tank.

Customize your System with no charge options
You can customize your FleetKey System to your requirements by selecting from no charge options at the time of order. Optional features include MPG History, Fuel Allocation, Gate Controller, Supervisor Key, Delivery and Dipstick Key, Off site/ Manual Fueling Entry, and more.

It only takes a few components . . .
  • Your FleetKey System, for 2, 4, 6, or 8 hoses--with one or two key receptacles
  • An ASCII CRT, PC, or host computer
  • An optional logger-printer
The CRT or PC (with terminal emulation software) is connected

through one of the two communication ports. They are used to enter system commands and order the printing of reports. The second port can be used for another local device, or remote communication. A short haul modem is required for transmission between 100 and 1500 feet.

The optional logger printer provides direct printout of system activity.
A power conditioner is recommended to provide transient and common mode protection for your system. The optional FleetKey Encoder will enable you to encode keys whenever you wish.
